Order Entry Receptionist
The order entry receptionist will be responsible for basic switchboard activities, receiving and entering service calls into our internal database, accepting work orders from customers’ and forwarding to the local dispatching hub. The Dispatcher will be expected to deliver highly effective, efficient communications over the phone, in person, and in writing, and have proficiency in Word, Excel, and Outlook. This position is the bridge between the company’s service groups and customers and play an integral role in the company’s overall success. Experience in a similar high-paced, customer service environment is essential.
Responsibilities:
- Answering incoming phone calls and transferring to appropriate team members.
- Entering service calls into our database.
- Updating customer upon receipt.
- Ensuring emergency service calls receive a suitable ETA.
- Answering technician and customer phone calls and email requests.
- Managing the shared email inbox and routing emails to the correct recipients.
- Ability to multitask and juggle many assignments simultaneously.
- Ability to operate in a fast-paced, high call volume, customer-focused office environment.
- All other duties as assigned.
Requirements: The successful candidate will possess the following qualifications:
- Must have prior experience working in a high-paced customer service & call center environment.
- Exceptional communication (written/verbal) skills.
- Must demonstrate strong attention to detail.
- Accurate data entry skills.
- Ability to prioritize and execute required tasks with urgency.
- Ability to take direction.
- Ability to read and follow instructions, both written and verbal.
- Must be a team player.
- Organized self-starter with an innovative system of follow up.
- Proficient in MS Office Programs (Word, Excel, Outlook).
- Must have a high school diploma; some college preferred.
